Fields are planted in rows for a reason. Our month runs the same way every time, so your numbers are ready by the 10th whether the month was busy or quiet.

The monthly rhythm

One month, four milestones.

Nothing in this routine changes with the season. Only the volume does.

  1. Day 1

    Feeds come in.

Bank, card, and payment feeds land overnight. We scan what arrived and note anything that looks out of place.

  2. Day 5

    Coding and questions.

Each transaction is coded and matched to its receipt. Anything we cannot place goes to you in one short list.

  3. Day 10

    The month closes.

Every account is reconciled, adjustments are posted, and your statements and cash position arrive by email.

  4. Month-end

    A look ahead.

We read the month for what matters next: a slow payer, a tax date, a quiet season coming. Then the next month starts.

Our tool stack

Tools we set up, so you rarely need to open them.

A short list of cloud tools that work well for Canadian small businesses. The subscriptions are in your name; we set them up and do the work in them.

ToolPurposeTypical costWho pays
QuickBooks OnlineThe ledger for most of our clients$30 to $110 CAD per month, by planClient
XeroThe ledger, for businesses that prefer it$25 to $80 CAD per month, by planClient
DextReceipt and supplier bill captureTypically $25 to $50 CAD per monthClient

If the tools you use today work, we keep them. If they do not, we explain why, propose a move, and quote it before anything changes. Prices are the vendors’ own and change from time to time.

Security and data

How your records are kept.

Your books hold your bank details, your staff’s pay, and your customers’ names. Access is limited to the people who need it, and every tool we use is one we would trust with our own records.

  • Documents kept in encrypted cloud storage, open only to the bookkeeper on your file.
  • Two-factor sign-in on every system that holds your financial data.
  • Personal information handled under BC's Personal Information Protection Act, with backups and a written retention schedule.

Your data stays yours: if we part ways, every login and record goes with you.

What you can expect

Five commitments, on the record.

These are how we work with every client. If we are about to miss one, we tell you before you have to ask.

  1. 01

The month closes by the 10th.

You do not have to chase it. If something will hold the close up, you hear about it before the date, not after.

  2. 02

An answer by the next business day.

Most questions get a same-day reply. None waits longer than one business day.

  3. 03

The same bookkeeper, month after month.

The person who sets up your books keeps them. You never have to explain your business twice.

  4. 04

A quarterly review, when you want one.

Considered and Bespoke clients get half an hour each quarter on the numbers and the season ahead. Steady clients can book one whenever they like.

  5. 05

    Year-end work starts a month after year-end.

Your year-end file opens four weeks after the year closes, so your CPA has it well before their busy season.
